The Kings Castle Hire team want everyone to have a good experience but we recognise from time to time that things don’t go as planned. Due to the nature of our leisure and entertainment company, the majority of our work is outdoors and we are therefore reliant on optimal weather conditions to ensure a positive and safe experience for everyone.

Purpose

Health and Safety is a top priority for us at Kings Castle Hire. That’s why it is important for us to have a weather policy in place to provide guidance for all our customers. We acknowledge recent inflatable incidents which have compromised child safety and how this has impacted on our industry. We follow best practice and safety regulations as specified by the Health & Safety Executive (HSE) to ensure all of our customers have a safe and happy experience of our services.

We encourage all our customers to be mindful of local weather forecasts when planning any outdoor bouncy castle party or event. We are aware this is easier said than done with the unpredictable British weather but we would urge that common sense was used to save disappointment.

The Health & Safety Executive advises that no inflatable equipment, such as bouncy castles and inflatable slides, should be used in winds above 24 mph. In the unfortunate event that this occurs in Gloucestershire on the day of your event, we reserve the right to cancel or amend any outdoor bouncy castle or inflatable hires in line with this policy and in the interest of health and safety.

We receive hourly updates on local weather conditions and forecasts in Gloucestershire and surrounding areas. We will inform all customers at the earliest possible opportunity should we have any weather worries concerning your event. On any occasion when a party needs to be cancelled, customers will receive a full and prompt refund of all money paid to Kings Castle Hire. We realise that this can be very disappointing but we remind you that children’s safety has to be our top priority and we welcome your support in maintaining this objective.

We also respect that customers may wish to cancel or rearrange Gloucestershire inflatable hire parties or events due to unforeseen weather forecasts and we will endeavour to accommodate cancellations and/or amendments when this occurs.

Cancellation Policy

Kings Castle Hire want to ensure all customers have a safe and enjoyable experience of our hire equipment and services each and every time they do business with us. As our top priority has to be child and public safety, there are a number of situations in which hire events may need to be cancelled by both the customer and our business. This cancellation policy offers transparency and consistency for our customers and also protects our business interests.

Purpose

As a Leisure and Entertainment business, we know plans can change and often at short notice, particularly when working with children! We recognise that party planning can be difficult and we provide customers with a range of resources from our T&Cs, FAQs, relevant policies, individual product information and local Venues page in addition to an accessible and responsive admin team to answer any queries you may have.

Whilst we are an event hire service, we are not party planners and our terms and conditions explain that the customer has a number of responsibilities as part of the hire agreement including- but not limited to- ensuring the inflatable site is clean and accessible, that the inflatable fits safely inside your chosen venue and that payment is made prior to the inflatables and party equipment being set up.

Customers confirm they have read, understood and accept our terms and conditions during the booking process and by making a booking with us. Our terms and conditions around cancellations are as follows:

  1. Customer cancellations are fully refundable when we are informed 7 days prior to the event date.
  2. If customers do not inform us of a booking cancellation with 7 days notice of the event date, the booking fee is non-refundable.
  3. We may have to cancel or rearrange bookings due to adverse weather conditions. This is for children/customer safety. Please refer to our Adverse Weather Policy any booking that cannot be rearranged on an alternative date will be fully refunded.
  4. We reserve the right to refuse hire in the event that the venue or customer's property is deemed unsuitable or unsafe by us. Please check the sizes of the equipment and clearances required before delivery as full payment is due if inadequate space is available.
  5. Abuse towards our delivery team will result in the hire equipment being removed from your event with no refund being issued.

Privacy Policy

The team at Kings Castle Hire ensure that our methods of handling personal data comply with the Data Protection Act 1998, the EU General Data Protection Regulation (GDPR) and all relevant legislation.

In our privacy policy, 'We' refers to Kings Castle Hire, and 'You' refers to people who visit our website, make enquiries with us, or hire products.

Why does Kings Castle Hire process and store personal data?

We need to store your data when you hire our entertainment products and services or make an order with us. This enables us to fulfill our event equipment rental services, and is also necessary for insurance and company tax purposes.

What information do you store?

We store your name, IP address, contact details, delivery details and information about the order you made with us. The information we store is provided to us by you.

How long do you store my personal information?

Personal information of our customers is stored for five years for tax and insurance purposes. We will anonymise your data after five years, unless you have opted to receive marketing communications from us.

Who is your Data Protection Officer?

The company Data Protection Officer is responsible for the safe use and storage of data. Wayne Mould- our company owner is the Data Protection Officer.

Who else can access my data?

Your data will never be sold to third parties.

Data will only be accessed by authorised members of staff and the Data Protection Officer. Our website and booking system provider Booking Online, which specialises in bouncy castle hire websites, and our email provider Fastmail, will also store a copy of your data, as will any providers these companies use as part of their operations. If you use a social media platform to send your data, this platform may also retain your messages.

We will share your personal data with third parties when there is a requirement by law, such as during tax audits, in the event of an insurance claim, or as part of an investigation into fraud.

Can I see the data you hold about me?

You may see any data we hold about you. On request, we can send you a copy of any data we have about you to the email address you provided us with when you made your initial booking or enquiry with us.

We may be able to delete your data if requested; however in some instances we may need to hold on to part of this data for tax and insurance purposes.

Can I opt in to our out of marketing with you?

You are free to change your marketing preferences at any time. Our marketing emails contain a link at the bottom that you can use to unsubscribe. You can also subscribe by contacting us or signing up for our newsletter.

How does your website use cookies?

Our website stores cookies that allow you to book party equipment through us. These are temporary cookies that cannot be used to identify individual visitors.

We use some third-party programmes and services such as Google Analytics. These third parties may also store cookies on your computer and have their own cookie policies.
